How to Choose a Nationwide Signing Service

When you close loans in more than one state, finding a reliable notary for every file gets old fast. A nationwide signing service takes that work off your plate, but only if you choose the right one. These are the questions worth asking before you send your first order.

1. How are notaries vetted?

Your signing agent represents your company at the closing table. Ask whether every notary has a current background check, signing-agent training and errors and omissions (E&O) insurance, and whether those are verified before a notary is assigned a file, not just at sign-up.

2. Do they really cover every state?

"Nationwide" should mean you can send a file in a rural county as confidently as one in a major city. Ask how large the notary network is and how they handle hard-to-fill locations.

3. How will you know where your order stands?

The biggest frustration with signing services is silence. Look for a service that confirms the notary assignment, the appointment and the completed signing, ideally through an online portal so you're not chasing updates by phone.

4. Who checks the documents before they ship?

A missed initial or an incomplete notary certificate can delay funding by days. Ask whether the service reviews scan-backs before documents go back to you, and what exactly they check: every signature, initial, date and notary stamp.

5. What happens when a notary makes a mistake?

Errors happen in any business. What matters is the response. Ask how quickly re-signs are scheduled, who coordinates with the borrower, and whether you'll be charged for fixing an error the notary made.

6. Can they handle rush and same-day orders?

Closings move. Ask how much notice they prefer and how often they accommodate same-day requests. A service with a large network can usually find a notary on short notice.

7. Do they offer RON, bilingual and one-off signings?

One partner for everything is simpler than three. Check whether the service also handles remote online notarization where permitted, Spanish-speaking notaries, and single documents like POAs and deeds.
